Workflow Guidelines

In order to maintain a structured and organized management system within the club, we have outlined the following permissions and workflow procedures for regular users and club leaders.

Attendance Modification

Regular club users have the ability to modify attendance records, but only within 24 hours of the initial creation of the attendance entry. After this period, users will need assistance from an administrator to make further changes.

Why is attendance locked after 24 hours? Locking attendance after 24 hours ensures accountability and prevents frequent modifications. This policy encourages timely reporting and accurate attendance data.


Permissions for Club Leaders

Managing Club Members

Club leaders have the authority to freely add or remove students from the club. This flexibility enables leaders to manage the roster effectively without needing administrator approval.

Flexible Member Management

Club leaders can add/remove members at any time, making it easier to handle day-to-day operations.

Modifying Club Information

If a club leader needs to modify any of the club’s details, they must seek approval from the responsible administrator. Requests can be submitted online through the AWS Approval Workflow System.

How does the AWS Approval Workflow work? The AWS Approval Workflow System allows club leaders to submit change requests that are reviewed by administrators. Once approved, all relevant parties are notified via email.

Once a request is submitted, an email notification will be sent to all relevant parties for tracking, ensuring transparency.


Dissolving the Club

Like modifying club information, dissolving the club requires administrative approval. Club leaders must initiate this request using the AWS Approval Workflow System, and the process will also be copied to email for documentation purposes.

Dissolving a club is a significant action and requires proper approval to ensure that all stakeholders are aware of the decision.


Requesting Club Leave

For club leaders applying for leave, they must also go through the approval process, which requires the responsible administrator’s permission. Requests can be submitted via the AWS Approval Workflow System.

Approval Transparency

All leave requests are processed via the workflow system and copied to email for accountability.


Reporting and Exporting Data

Club leaders have access to the Print Report Card interface, which allows them to export a PDF version of the club’s report. This feature is ideal for sharing updates with administrators or stakeholders.

What does the Report Card include? The Report Card contains data on attendance, grades, and other performance metrics. It is a comprehensive report that provides clear insights into the club’s activities.
